Total Cost of Ownership

Notion Business

Notion typically replaces 2-3 tools: wiki, project tracker, and database. A team using Notion as their all-in-one workspace avoids paying for Confluence + Trello + Airtable separately. The per-seat cost is higher, but the total stack cost may be lower.

Confluence + Jira

Confluence is rarely used alone. Most teams need Jira ($8.15/user/mo Standard) alongside it for project management. Together: $14.20/user/mo. Still cheaper than Notion Business ($20), but the gap narrows. Add Trello or other Atlassian tools and the total approaches Notion pricing.

50-person team: annual total stack cost

Notion Business only

$12,000/yr

$1,000/mo for wiki + databases + basic PM + AI

Confluence + Jira Standard

$8,520/yr

$710/mo ($6.05 + $8.15 per user). AI included via Rovo.

Who Should Choose What

Choose Notion If...

  • You want an all-in-one tool (wiki + PM + database)
  • Your team is under 50 people
  • You value design flexibility and user experience
  • You need powerful databases and relations
  • Your team is non-technical and prefers intuitive tools

Choose Confluence If...

  • Your team already uses Jira for project management
  • You have 50+ users and need lower per-seat costs
  • Compliance (data residency, audit logs) is critical
  • You need structured technical documentation
  • Budget is the primary concern

Migration Between Notion and Confluence

Notion to Confluence

Export Notion workspace as Markdown. Confluence can import Markdown files. Page structure transfers reasonably well. Databases, relations, and formulas do not transfer and must be recreated manually. Expect 1-2 weeks of cleanup for a medium-sized workspace.

Confluence to Notion

Notion has a built-in Confluence import tool (Settings > Import > Confluence). It handles pages and basic content well. Macros, advanced formatting, and Jira issue embeds do not transfer. Confluence page trees become nested pages in Notion.
